Job Title: Operations Administrator
Location: Remote
Reports To: Director of Development
Employment Type: Full-time
Compensation: $70-85K, commensurate with experience
Position Overview
The Operations Administrator will play a critical role in ensuring the seamless operation of Athlete Ally’s day-to-day activities. This individual will manage key operational processes, support organizational growth, and contribute to our mission by providing administrative, financial, and logistical support to the team.
Key Responsibilities
Operational Support
- Oversee organizational systems, including file management, databases, and internal tools, through Salesforce and Pardot.
- Coordinate with vendors, contractors, and service providers to maintain efficient operations.
- Support the onboarding and offboarding of employees, interns, and volunteers.
Financial Administration
- Assist in budget tracking, financial reporting, and expense reconciliation.
- Process invoices, payments, and reimbursements in collaboration with the finance team.
- Ensure compliance with organizational policies and procedures for financial management.
Event and Program Support
- Provide logistical and administrative support for Athlete Ally programs, events, and campaigns.
- Manage travel arrangements, venue bookings, and materials preparation as needed.
- Coordinate with team members to ensure successful execution of events and initiatives.
HR and Compliance
- Maintain employee records and oversee the implementation of HR policies.
- Assist in tracking compliance with legal and regulatory requirements.
- Support internal communications and team development initiatives.
Qualifications
- Bachelor’s degree or equivalent experience in administration, operations, or a related field.
- 2+ years of experience in operations, administrative support, or nonprofit management.
- Proficiency with Google Workspace and project management tools (e.g., Asana, Trello, or similar).
- Familiarity with financial management software is a plus.
- Strong organizational skills with attention to detail and ability to manage multiple priorities.
- Excellent communication and interpersonal skills.
- Commitment to Athlete Ally’s mission and values.
Preferred Skills and Experiences
- Familiarity with CRM systems and donor databases (e.g., Salesforce, Pardot).
- Experience in a nonprofit or mission-driven organization.
- Knowledge of sports or the athletic community is a bonus.
